Description

Five Standard site licences for groups and agencies. Every install carries a free 30-day Pro trial with no sign-up. A licence is for one WordPress site; codes are Ed25519-signed and verified offline, so the plugin keeps working if our server is down. When a licence lapses nothing is deleted – every screen stays readable and the data can be exported.

• A progress note and a psychotherapy note are two different documents. Under the privacy rule, process notes sit outside the designated record set, are generally excluded from the client’s right of access, and generally need a specific authorisation to release that cannot be rolled into the consent to treat.
• And that protection is conditional on the separation – the definition says they are notes kept apart from the rest of the record. Nearly every practice system has ONE notes field. A therapist typing process notes into it has not made a protected note; they have put unguarded material into a record an insurer can request. The schema destroyed the distinction before anybody decided anything.
• So they are two tables, two permissions, two screens – and the private one is excluded from every export, claim, portal page and API response by construction. It checks who WROTE the note; being a site administrator is not an answer.
• The billing code comes from the clock, not the diary. The bands are not the round numbers the code names suggest: 16-37 minutes is 90832, 38-52 is 90834, 53 or more is 90837. A 50-minute hour is 90834; a session that ran three minutes long is a better-paid code most practices have never billed – and a 60-minute slot that actually ran 48 minutes billed as 90837 is upcoding an audit finds instantly, because the times sit in the note beside the code.
• An authorisation is a countdown. Twelve sessions approved between two dates, and because claims batch, practices normally discover it ran out several sessions past the line – work already done, for a client nobody warned. This warns BEFORE the first unfunded one.
• A standing weekly slot as a first-class record, so cancelling one session and ending a course of therapy stop looking identical – and a slot empty every week since somebody finished becomes visible.
• Telehealth asks where the CLIENT is sitting and checks it against licences held by jurisdiction. Therapy is practised where the client is, and no video platform will ever ask.

What this is not. INSTALLING THIS DOES NOT MAKE A PRACTICE HIPAA COMPLIANT. No plugin can, and any that says otherwise is selling a sentence rather than a safeguard. It does not encrypt the database, it cannot give you a business associate agreement with your host, and it does not control your backups – and a backup is a complete copy of every clinical record you hold. It is not a clearinghouse: claims are prepared and recorded here and submitted through whatever you already use. It does not do video, does not take card payments and does not prescribe. The psychotherapy-note separation is a wall against PEOPLE, not against a server: anybody who can read the database can read the table. What it prevents is a colleague browsing, an office manager wandering in, or a support login seeing what it never should have.
